REGISTRATION & SUBMISSION
Early registration is recommended to benefit from the early bird fee.
What does the “registration fee–online” include?
The registration fee–online allows access to the streamed content of the symposium live as well as all recorded presentations ‘on demand’ until 04.04.2025. Furthermore, it allows submission of a poster for online presentation and/or application for a lecture (oral communication, 15 + 5 min Q&A). The registration fee also includes access to all poster presentations already one week before the start of the symposium. Interactions at poster sessions are ensured by video-chat function. Furthermore, access to various integrated tools to enable exchange and communication online is included.
What does the “registration fee-in person” include?
The registration fee–in person allows as the online-attendance access to the streamed content of the symposium live as well as all recorded presentations ‘on demand’ until 04.04.2025. Furthermore, it allows submission of a poster for online presentation and/or application for a lecture (oral communication, 15 + 5 min Q&A). The registration fee also includes access to all poster presentations already one week before the start of the symposium. Interactions at poster sessions are ensured by video-chat function. Furthermore, access to various integrated tools to enable exchange and communication online is included.
Additionally the attendance to the in-person event in Helnan Marselis Hotel (Aarhus) is included as the welcome reception, symposium dinner, and the coffee breaks.
PLEASE NOTE: The registration fee in-person does not cover the hotel stay. When registering for the event you can declare your preference for a shared or single room. Your name will be forwarded to the Helnan Marselis Hotel and a room will be reserved for you. At arrival you will be asked to complete the hotel room booking and payment at the hotel reception. The hotel room fee is additional 1790 dkk (~240 Euro) for two nights, with arrival 26.03.2025 and departure 28.03.2025.

Cancelling and Refunding
For online-only format: For cancellation by registered participants before 60 days before the event will incur a 50% cancellation fee. Cancellations made within 60 days of the event will incur a 100% cancellation fee. For more detailed information on cancellation, please log into your account and go to terms and conditions. The organizers cannot be made liable for slow/lousy internet connections.

Transfer of registration
Transfer of your registration to another person is possible. The full name and details of the person that will replace you must be communicated to the organization prior to the symposium.
Non-attendance
No refunds will be made for non-attendance at the symposium.

Guidelines for abstract submission:
Please use the provided template for your abstract. Your abstract should be uploaded as a text file (max. 10MB). This abstract will be used for the generation of the e-book of abstracts. During the upload process you will be asked to upload the text in a separate form. This text will be used for the search function available on the symposium platform to make navigating through the content easier.
Guidelines for poster presentations:
The poster session will be online and in-person. Posters should be submitted as image files (jpg, max. 25MB) in A0 portrait. Optionally, a video additionally to the poster may be submitted. All poster contributions that include a video enter a competition for online poster pitch presentations. In the video you may present your poster by using e.g. 3-4 slides; you may be creative; max. 3 min (!), .mp4 format, max. 150MB). All poster contributions, whether or not they include a video, enter a competition for the poster prizes sponsored by ChemBioChem and ChemCatChem. Poster presenters have to upload their poster (incl. optional video) already one week prior to the start of the symposium (March 19, 2025).
For converting your file into .mp4 or reducing the file size the open-source program HandBrake is recommended.
Guidelines for oral presentations:
Oral presentations will be limited to 20 minutes (15 + 5 min Q&A). Presentations should be presented as PowerPoint or as PDF files. Applications for oral presentations by abstract submission will be considered until December 31, 2024. Abstracts which cannot be considered for an oral presentation will be automatically considered for poster presentation.
